CLIENT ADVISOR

Plan and prioritize personal sales activities and customer/prospect contact towards achieving agreed business aims, including vehicle sales/profit goals as well as managing personal time and productivity.

DUTIES AND RESPONSIBILITIES:

  1. Plan and manage personal sales strategy according to an agreed market development strategy in accordance with established Gallery Automotive requirements and quotas with respect to vehicles sold.
  2. Maintain and develop existing and new customers through appropriate propositions and ethical sales methods, and relevant internal leads, to optimize quality of service, business growth, and customer satisfaction.
  3. Use customer and prospect contact tools and systems, and update relevant information held in these systems.
  4. Plan/carry out/support company marketing activities to agreed budgets and timescales, and integrate personal sales efforts with other company-organized marketing activities, e.g., product launches, promotions, advertising, exhibitions.
  5. Respond to and follow up sales inquiries using appropriate methods.
  6. Monitor market and competitor activities and provide relevant reports and information as required.
  7. Record, analyze, report and administer according to systems and requirements.
  8. Attend sales trainings/meetings and internal meetings with other company functions necessary to perform duties and aid business development.
  9. Attend training and to develop relevant knowledge, techniques and skills.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Organizing and coordinating skills.
  • Exceptional communication ability
  • Ability to offer customer service that exceeds expectations
  • Understanding of sales technique including lead generation, "the sell", and closing technique.
  • Knowledge of the Automotive industry a plus
  • Ability to be on your feet for occasional long periods of time
  • Ability to perform simple arithmetic  
  • Ability to understand and follow specific instructions and procedures.
  • Computer skills are a must.
  • Ability to maintain calendars and schedule appointments.
  • Skill in the use of operating basic office equipment.

SERVICE ADVISOR

Job Responsibilities:

  • Greet Customers in a timely, friendly manner and obtain vehicle information
  • Schedule "next" service appointments.  Obtain customer and vehicle data prior to arrival when possible.
  • Enter customer's vehicle problems accurately and clearly on repair order using computer program. 
  • Test drive vehicle with customer as needed to confirm problem/s or refer test drive to technician.
  • Be able to refer to service history on customer's car.  Inspect vehicle and make needed service recommendations.
  • Advise customers on caring for their car and the value of maintaining their cars in accordance with manufacturer's specs
  • Must have a clear understanding and be able to follow Manufactures Policy and Procedure Manual
  • Achieve and Maintain Manufactures Certification
  • Be able to provide a complete and accurate written cost estimate for labor and parts.
  • Establish and hold to "Promised Time"
  • Obtain customer's signature on repair order and provide customer with a copy.
  • Establish customer's method of payment and collect all needed data for payment transaction.  Obtain credit approval if necessary.
  • Communicate with dispatcher on all incoming work and on "Promised Time"
  • Treat your co-workers as you would like to be treated.  Respect for one another goes hand-in-hand with your success at The Gallery. 
  • Be able to communicate properly with co-workers and customers regarding progress of the repair throughout the day, changes in the "Promised Time" or cost of the repair, you must obtain proper authorization BEFORE any additional repairs are performed.
  • Implement and maintain service marketing program.

PARTS COUNTER PERSON

Duties And Responsibilities:

  • Provides high level of service to internal and external customers.
  • Pulls and fills orders from stock.
  • Notifies parts manager of out-of-stock parts or shop materials that need immediate attention.
  •  Locates out-of-stock parts from outside source and submits an emergency order, if necessary
  •  Notifies the service advisor and the customer when special ordered parts have been received
  •  Notifies the body shop when all parts have arrived and when they will be delivered
  • Pulls orders for delivery to body shop, making sure all parts are tagged with customer names and job number.
  • Assist all customers (retail and shop) in selecting required parts in a friendly, professional, and efficient manner
  • Informs customers of companion part requirements and specials, and ensures that the customer is exposed to the full product line.
  •  Answers phone calls, providing price quotes and other information
  • Reviews body shop estimates to be sure the parts that are ordered are correct and all pricing is in line with the estimate
  • Write purchase orders for outside vendors
  • Follows up on back-ordered parts
  • Verifies will-call and back-order files weekly and returns to vendors, or stocks those items not picked up or required
  • Replenishes assigned inventory daily
  •  Assists outside sales representatives with their orders
  • Makes sure all internal requests for parts are billed on service repair order
  • Receives payment from retail customers or obtains credit authorization
  • Ensures that all charge sales are signed by the customer
  • Ensures that all customers receive their copy of the invoice
  • Issues credit for parts returned, ensuring that the original invoice, or its number, is available so that purchase and pricing can be verified
  •  Keeps orderly records of all repair orders, invoices, insurance estimates, and special order parts
  • Sets up orders for daily shipment, delivery, or pick-up
  • Keeps front and rear counter areas clean and uncluttered
  • Cleans computer terminals and printers daily.
  • Participates in all training programs that are made available.
